The Role…
The Events Coordinator supports both Private Hire Events and Member Events at the House.
This role requires strong organisation, flexibility and a high sense of priority. Time management is essential between both teams, with the ability to understand daily operational needs and focus on what requires immediate attention. The coordinator ensures all events are properly administered, communicated and executed to a high standard.
We are seeking excellent and outgoing Events Coordinator to join the Hong Kong team! The role is expected to:
Event Administration & Coordination
- Support documents preparation for events
- Create and manage event orders on the Tripleseat platform (training provided)
- Upload and manage events on Soho House digital platforms (training provided)
- Ensure all event calendars are updated and shared with Operations, Kitchen and Management teams
- Send invoices and assist with payment tracking
- Maintain accurate event records and documentation
Event Planning, Materials & Execution Support
- Support the planning and coordination of both Private Hire and Member Events
- Print menus and event collateral as required
- Prepare event briefs and share key information with operational teams
- Coordinate AV requirements and supplier needs where applicable
- Manage RSVPs and respond to event enquiries
- Collect event materials such as descriptions, speaker bios and images
- Track attendance and post‑event feedback where relevant
- Ensure clear communication between Events, Membership and Operations teams
On‑Site Event Support
- Provide on‑site support during events (AV coordination, set‑up support and guest assistance)
- Conduct pre‑event checks to ensure spaces are prepared as required
- Act as a point of contact for operational queries during events
- Support smooth guest arrival and overall event flow

- Team-oriented with strong internal communication skills
- Experience in event management platforms (such as Tripleseat) would be preferred
