Scope of the Job

As Development Assistant to the Global Development Director, you will provide proactive and professional support to one of the most cross-functional teams in the organization. You will be responsible for managing a dynamic schedule, supporting development workflows, drafting written materials including development decks, coordinating projects, supporting the team and ensuring the Development Director operates with maximum efficiency and impact.

This role requires exceptional organization, strong written and verbal communication skills, and the ability to anticipate needs before they arise. You will work closely with internal teams, external partners, and members of the leadership team, becoming a trusted extension of the Development Team. This role would suit someone with a strong interest in Architecture, Design, Construction/Development.

Main Duties...

Executive Support

  • Support the Development Directors complex and fast-paced calendar, scheduling internal and external meetings across global time zones.
  • Prepare briefing documents, agendas and materials ahead of meetings; ensure follow-up actions are captured and tracked.
  • Frequent travel within US 1-2x per month and international travel 2x per year

Project & Cross-Functional Coordination

  • Support the Development Director on key business projects, including building decks, tracking timelines, and coordinating with relevant teams.

Travel & Logistics

  • Support with all domestic and international travel for the Development Director and all team members including schedules, visas and detailed itineraries.
  • Manage travel budgets and ensure timely reporting.

Stakeholder Management

  • Build strong relationships with global internal stakeholders and external partners. Manage post meeting correspondence and follow ups as needed.
  • Act as a representative of the Development Team, ensuring clear and timely communication.

Administration & Operations

  • Process expenses and complete administrative tasks with accuracy and discretion.

 

Experience Required

  • Architecture/Design/Real Estate experience or degree preferred.
  • Spanish speaker a plus.
  • A proactive self-starter who anticipates needs and takes ownership without being prompted.
  • Strong written communication skills: articulate, concise, with excellent grammar and editing skills. Able to adapt tone and voice.
  • Highly organised with meticulous attention to detail, and ability to manage multiple priorities with shifting deadlines.
  • Proactive, resourceful and able to work independently with sound judgement.
  • High emotional intelligence and tailor communication dependant on the situation.
  • Proficient in Adobe, Revit, Microsoft Office (Excel, Word, PowerPoint), Zoom and other productivity tools.
  • Demonstrated project or event coordination experience.
  • Operates with absolute confidentiality, discretion, maturity and professionalism when handling sensitive information.
  • Calm under pressure; thrives in a fast-paced, ever-changing environment.

Physical Requirements

  • Must be able to seize, grasp, turn and hold objects with hands.
  • Must be able to work on your feet for at least 8 hours.
  • Fast paced movements are required to go from one part of the club to others.
  • Must be able to move, pull, carry, or lift at least 50 pounds.
  • Occasionally kneel, bend, crouch and climb as required

In accordance with California law, the salary range for this role if filled within California is listed below. The range for the position in other geographies may vary based on market differences. The actual compensation will be determined based on experience and other factors permitted by law.
